I know document management is a space intensive operation. Our storage server is growing by 3gb or more per day. We also use it for faxes so that adds to the space issue.
My question is how do people manage the space issue? just keep adding to drive to accommodate. Does 3gb + seem feasible, i know it depends on patient population.
We have users who dont scan correctly as well, using full page for driver lic or ins card. It creates a huge file for storage. Does your practice scan every document of any kind?
Is there another viable solution to the storage issue that anyone has found.
yikes! sounds like you need to lower the resolution of your scans.
we scan everything, licenses, insurance cards, some external reports, etc. and keep all all faxes and also midmark ECG and spirometry reports.
we have 115,000 attachments/images and it is around 20 GB
faxes are around 100-300KB
scans average less than 100KB but can get up to 1MB, depending on what it is.

Do you use Krytiq DM and do you lock down that software in any way?
much much smaller practice. but i would just compare your average image size. I think i have it set to about as small as i would want to go and still have a quality scan.
We use the software that came with scanners for the actual scan, and a custom developed solution for importing scans and faxes into the EMR (similar to Kryptiq DM).
I just have several "scanning profiles" (drivers license, report, etc.) that the user scanning can choose from that sets the resolution.
We scan everything to PDF, leave faxes as TIFF images. and Midmark files in the proprietary Midmark format.

Nothing fancy. I built a little app that looks just like the kryptiq solution, at least as it looked in 2005. Only problem was it didn’t integrate with the kryptiq portal for attaching documents to secure messages, I probably could have made it work, but that portal and messaging solution was..... how do I say.... lacking.... so we bought it and never implemented it so it didn’t matter.
I’d see if you can create some predefined resolution/dpi settings in your scan all pro for users to use.
Everything doesn’t need to be max resolution of the scanner (by any means)
